JOB SUMMARY :
The Receptionist / Administrative Assistant is responsible for reception duties, both telephone and eMail, and ensuring the office runs smoothly with adequate supplies and completing all administrative tasks.DIMENSIONS :

JOB ACCOUNTABILITIES :
Understand and Adhere to all Corporate Policies to include but not limited to ACI Code of Ethics and Global Information Security.
Answers incoming telephone calls, transfers call to requested employee. Determines purpose of callers and forwards calls to appropriate personnel or department.
Answers questions about organization and provides callers with address, directions, and other information.
Welcomes on-site visitors including administration of the Visitor Log, assigns Access Card numbers and registers time in, retrieves access cards and records time out.
Monitors facilities email addresses and forwards requests as appropriate.
Organizes office supply orders and places on-line orders as well manage maintenance of office equipment.
Responsible for conference room scheduling typing- Staff & Management Committee Minutes, general correspondence and creating fliers / forms.
Orders business cards and follows up with delivery.
Other duties are support Local Site Leader and Manage workflow by assigning tasks to other administrative employees, ensuring that deadlines are met and work is completed correctly.
Assist in training staff members and new hires.
Perform other duties as assigned.
MINIMUM JOB REQUIREMENTS :
3 years’ experience as a receptionist / team assistant operator on a multiple position board.
Knowledge of company organizations desirable.
Proficiency in MS Office with expertise in Microsoft Word, PowerPoint, Excel
Detail oriented and comfortable working in a fast-paced office environment as well as part of a larger organization.
Communication skills in German and English.
Superior organization skills and dedication to completing projects in a timely manner.
