Job Purpose

Responsible for the day-to-day coordination of delivery of diverse FM services (M&E and fabric services and maintenance, ground maintenance, waste, pest control) within site, including supply chain and Delivery Team performance.

Primary point of contact for customers within site. To assist in all service delivery to ensure consistency and proactive service to Authority.

Responsibilities

  • Site Work Orders Coordination :
  • Monitoring all reported work orders through Maximo and its coordination.
  • Monitoring PPM work orders, its schedule and completion for each month. Processing reactive work orders
  • Assisting in project works management, identifying and logging the nature of reported faults where necessary.
  • Allocation of jobs to appropriate labour, subcontractors
  • Ensure a timely response upon job closure, updating log notes through Maximo system, cost tracking of reactive work orders.
  • Monitor performance measurement response times and coordination extension of work orders.
  • Closing work orders through Maximo.
  • Liaison with sub-contractors and suppliers regarding reactive tasks as well as call-outs and monthly planned maintenance tasks
  • Liaison with the client regarding room bookings and set-ups
  • Ensuring Purchase orders are raised where needed and distributed to the relevant subcontractors as per Interserve Commercial Instructions following internal processes
  • Accurate recording and reporting of data on Maximo
  • Providing reports to the Interserve Facilities Management Teams as requested
  • Administering Help desk records as requested by Interserve team / FCO
  • Knowledge Skills & Experience

    The ideal candidate will exhibit the following essential technical competencies for the role :

  • Experience in dealing with sub-contractors and supply chain
  • Understanding of help desk / call centre processes and work flow
  • Able to co-ordinate and manage planned and reactive services end-to-end
  • Experience of co-ordinating works and sub-contractors
  • Experience in providing / undertaking minor maintenance and minor fabric repairs
  • Collation of service data, detailed reporting and performance analysis
  • Proven track record in successful people management
  • To have a technical background (civil or construction engineering)
  • Awareness of policies and systems such as H&S, QA, environmental and corporate while complying with current and appropriate legislations and standards
  • IT literate in MS Office and systems management software
  • Excellent in organisation skills, scheduling, time management.
  • Fluent in German and English (written and oral)
  • Excellent communication skills
  • Attention to detail
  • Being flexible in stepping in and covering variety of tasks within the team.
  • Holder of a full and valid driving licence
