Job Purpose

Responsible for the management of the residential property services within Post. Role includes -finding accommodation, negotiating leases, and furnishing properties, ensuring statutory compliance, the management of Pyramid and assisting the Property Manager in the effective management of the Estate, coordinating reactive works order, chargeable works, liaising with housing administrations and landlord.

KEY RESPONSIBILITIES AND RESULT AREAS :

  • Responsible for established services and all other reactive and ad-hoc services. Complete records and provide check list feedback to the senior management team
  • Planning and co-ordination of all works / services with supply chain
  • Support of incidental works and other new works programmes
  • Ensure that information held on MIS is accurate and timely
  • Establish effective follow-up system for ongoing issues
  • Manage all information and data transfer between Mitie Senior Management teams and supply chain.
  • Management of housekeeping of Pyramid system
  • Liaise with third party providers as necessary
  • Provide effective staff residential accommodation services as defined by the contract
  • Manage and process of invoices and purchase orders in the delivery of this service
  • To provide & deliver good environmental practice
  • To provide cover in times of absence where necessary.
  • Management of rents and utilities
  • TECHNICAL COMPETENCIES :

    The ideal candidate will exhibit the following essential technical competencies for the role :

  • Experience in a similar role, fluent speaker in English and German (written and oral)
  • Experience of budget management and commercial awareness
  • IT literate in MS Office and systems management software
  • Experience in dealing with Landlords and Estate Agents
  • Experience in dealing with customers and providing home search
  • Able to co-ordinate and manage planned and reactive services end-to-end
  • Experience of managing, co-ordinating works and sub-contractors
  • Experience in project management
  • Experience of furnishing properties and ordering supplies
  • Collation of service data, detailed reporting and performance analysis
  • Experience in the management of Residential Property Services
  • Understanding of Tenancy agreements
  • German and English knowledge, proficiency level
  • Previous experience working with housing administrations
  • Holder of a full and valid driving licence
  • The following technical competencies are desirable for the successful Property Manager Assistant :

  • Experience of operating MAXIMO, PYRAMID and PRISM systems
  • Responsible for the delivery of reactive, M&E, Soft FM and building fabric works in the leased hold properties
  • BEHAVIORAL COMPETENCIES :

  • We are looking for an Assistant Property Manager who remains calm under pressure and can communicate effectively at all levels
  • The candidate will be confident in making decisions and follow up their decisions with action, achieving objectives by motivating and working through others
  • Assistant Property Manager will be able to work within agreed systems and procedures, and maintain accurate records
  • Assistant Property Manager will continuously pursue high standards and communicate effectively with tenants and the client teams
  • Assistant Property Manager will rope be able to balance commercial considerations with the needs of colleagues and clients, use consultation and negotiation to reach agreement, critically examine numerical, financial, and written data, and track delivery against specifications and budgets
  • Assistant Property Manager will be clear about the contractual requirements and effectively communicate their responsibilities
  • Assistant Property Manager will provide high levels of customer services at all times
