Overview

The role operates as part of the management team at VMLY&R Austria. The two main thrusts of the role are, externally to manage the commercial forecasting and reporting of the business with VMLY&R Europe, VMLY&R global network and WPP and internally to manage the operation and commercial administration of the business.

Job Purpose :

  • Accountability for the commercial operation of VMLY&R Austria
  • Operationally responsible for the administration of the business.
  • Member of the management team responsible for the day-to-day running of the business.
  • Responsibilities

  • To be the commercial edge of the business, working closely with and advising / supporting the senior staff in the day-to-day running of the business.
  • Working with the management team to develop and implement the financial strategy for the business.
  • Key role on the management team working on the day-to-day running of the business with a specific focus on commercial and operational functions.
  • Close liaison and co-operation VMLY&R EMEA and VMLY&R Regional CFO on all accounting commercial and reporting requirements.
  • Specific Responsibilities :

    To control all aspects of accounting financial management and administrative management of the company, to ensure that profitability and cash flow are maximised.

    These will include :

  • Overseeing preparation of monthly management accounts
  • Overseeing preparation of monthly financial information and board packs / key people / team leaders
  • Establishment of efficient systems and procedures
  • Preparing detailed operational budgets and forecasts as well as monitoring actual performance on an ongoing basis
  • Responsible for Sox compliance
  • Maintaining good relationships with the VMLY&R network and WPP.
  • Preparing annual statutory accounts and liaising with the auditors
  • Minimisation and control of all taxation matters in liaison with WPP
  • Control and appraisal of all capital expenditure
  • Management of the shared services team allocated to VMLY&R Austria
  • Prepare, monitor and evaluate annual budgets and forecasts
  • Promoting accuracy in revenue forecasting
  • Responsibility for backlog / wip monitoring and reporting
  • Responsibility for productivity monitoring and reporting
  • Establish project profitability monitoring and reporting
  • To provide all necessary financial and operational information to the management team to enable them to make timely business decisions.
  • To provide all necessary financial and operational information to VMLY&R HQ and WPP according to the specified accounting calendar.
  • Work with partners and team leaders to resolve budget / contract / financial issues, offer creative solutions to achieve client targets
  • To have responsibility for the performance and support provided by the accounting staff (employed by Shared Services) in the performance of their role managing the day-to-day accounting administration of the London studio.
  • To ensure that VMLY&R Austria is compliant legal requirements concerned with accounting, tax and payroll administration.
  • To be the main contact point within VMLY&R Austria for all legal matters and all operational matters.
  • To attend a weekly Management Team meeting
  • To take a proactive role in helping design teams maximise contractual terms and obligations negotiated with clients and suppliers.
  • To chair a monthly revenue forecasting meeting with all Client Directors, Managing Client Director and Management Accountant.
  • To be responsive and proactive in dealing with reporting commitments to FWW and WPP.
  • To take an active role in the general operational running of the company and to deputise for the Managing Partners in their joint absence.
  • To identify and implement the best possible IT solutions for the business.
  • To ensure the creative’ management of the facilities and admin resource.
  • To work with the HR function on all matters required needing financial support and decision making.
  • Qualifications

  • Fully fluent (written / oral) in German and English
  • Prior experience in a finance role within an advertising, marketing communications or professional service firm
  • Strong communications and interpersonal abilities
  • Accuracy and timeliness of financial reporting
  • Proactive responsibility for commercial and operational aspects of the business
  • Efficient running of the business and its systems
